How do I book a shuttle?
Reservations are required for our shuttle
service. Please call us at 1-800-766-7117 or 1-877-226-8060 to
make your reservation. Our local number is 602-997-6474. We will need the name of the passenger(s),
the shuttle destination and time you would like to book, a contact
telephone number and/or e-mail address, a credit card number for
payment, and the name and telephone number of the person paying for the
shuttle, if different than the passenger. We are in the office
daily from 7am to 6pm, with a team member answering telephones up until
9pm in the evening.
If you do not have a credit card for
payment, we are unable to make a reservation or hold a space for you.
If you do not have a credit card and would like to pay with cash in
advance to make a reservation, you may visit our office in Flagstaff
(please call us for information) or 522 E. Dunlap in Phoenix (please call
ahead). At Phoenix Sky Harbor Airport, the AZ City to City Shuttle
desk in baggage claim can sell you a one-way
ticket from Phoenix to Flagstaff if space is available; however,
reservations in advance are recommended to assure you a shuttle seat.
How far in advance do I need to book a
shuttle?
Shuttle reservations are subject to
availability, so we suggest making the reservation as soon as possible
in advance. Many shuttles often sell out, especially around major
holidays and the beginning/ending of school semesters at Northern
Arizona University. We of course realize that some travel plans are last
minute and are always happy to check on space to accommodate you!
When can I make my shuttle reservation?
We are in the office daily between
7am-6pm to take your shuttle reservation. In the evening up until
9pm, you may reach an Open Road team member who is on call, but not at
the office, so information on shuttle availability may be limited.
We strongly recommend you call us during our office hours.
After hours, you may visit the shuttles
page of our website to request that we contact you to book a
shuttle. We do not yet have internet booking available, so this form
is only a REQUEST for a shuttle. Please remember, however, that confirmed shuttle reservations
require a credit card for payment. Your shuttle is not confirmed until you have contacted us
to confirm availability on the particular shuttle you would like along with
credit card payment information. The online form that you fill out
is ONLY used for us to contact
you -- it does NOT confirm or hold your reservation.
Online booking will soon be coming to our
website, but is not yet available.
Can I reserve and pay for
a shuttle for someone else?
Of course! We are happy to reserve
a shuttle for you or your family member. We always list the
reservation under the passenger's name. In addition to the name of
the passenger, please be prepared to let
us know the name of the airline on which the passenger is traveling as
well as their flight time (if applicable), and the number of people
traveling. We do recommend you book as far in advance as possible, if
you are paying for someone else's shuttle, and send us this
Credit Card Authorization form for
payment. We will need to get your full name and credit card
information for payment, as well as your billing address and telephone
number should we need to contact you for further information.
Where do I check in or meet for my
shuttle?
Camp Verde to Phoenix or Flagstaff:
Please wait at the Burger King Restaurant located just off I-17 and
Highway 260, Exit 287.
Phoenix/Sky Harbor Airport to
Flagstaff Shuttles: Check-in REQUIRED at the AZ City to City
Shuttle desk, located in the Baggage Claim area
of each terminal. DO NOT GO OUTSIDE OF THE TERMINAL AS YOU MAY WAIT IN
THE WRONG AREA AND MISS THE SHUTTLE. We recommend you check in at least
15 minutes prior to shuttle departure time. Please give the
attendant your name as well as the shuttle time for which you are
scheduled. The attendant at the AZ City to City Shuttle desk will walk you out to our
shuttle when it arrives.
Metro Center (Phoenix) to
Flagstaff: Metro Transit Center at Metro Center Mall, located on
the west side of the mall in the parking lot across from the Harkins
Theatres.
Flagstaff to Phoenix: Check in
with the Open Road Tours/Transportation office at the Flagstaff Amtrak
Station at 1 E. Route 66 at least 15 minutes before your scheduled
departure time. Guests on the 4:30am departure should meet our
driver in the parking lot on the San Francisco Street side of the Amtrak Station by 4:15am as our office
is not open at that hour.
Flagstaff to Grand Canyon South Rim: Check
in with the Open Road Tours/Transportation office at the Flagstaff
Amtrak Station at 1 E. Route 66 at least 15 minutes before your
scheduled departure time.

to Flagstaff: Please wait at or near the lobby of Maswik Lodge.
Please be there 15 minutes prior to departure.

IMPORTANT NOTE: If for
any reason you need to change your pickup location, please inform us as
soon as possible! If, for example, you are scheduled for a
Phoenix/Sky Harbor Airport pickup, but instead decide to meet us at
Metro Center, please call us so that if our driver doesn't find you at
the airport that you are not listed as a no-show and your seat given
up to a walk-up passenger!
What is your
luggage/baggage policy for shuttles?
Per person, we allow two standard size
suitcases, each weighing no more than 50 pounds and maximum size of 62
inches (length + width + height) per bag, and one personal item (i.e. a
purse, laptop, small knapsack).
Additional or overweight baggage
is subject to additional charges (Extra standard size suitcase or box -
$5.00; Oversized suitcase/bag weighing 70 pounds or more - $10.00). There are also additional
charges for skis ($7.00), golf clubs ($7.00), guitars ($5.00), boxes/packages larger than
20" x 20" by 20" ($7.00), snowboards ($5.00), bicycles ($20.00 and they
MUST be in a bicycle box!), and other pieces of equipment -
please contact our office for more information or with questions.
Please let us know
if you have any additional items when making your reservation as we'll
need to plan for space for extra items. If we are not informed in
advance of extra luggage items, we may not be able to take them on
board.
Do you allow animals on board shuttles?
No. The only exceptions are service
animals.
Can my unaccompanied minor child travel on
the shuttle?
Minors 17 and younger may travel alone on
our shuttles but they must have a permission to ride form from their parent or
guardian to do so, and must be checked in for their shuttle by a
parent/guardian, as well as met by an adult who has permission to pick
up the minor. Please print this
Permission to Ride form
so that you may fill it out in advance. You may then bring it with
you when your board your child on our van to give to our driver for our
records. You may also fax or mail it to our Phoenix office in
advance at 602-997-2276 or send it to us at 522 E. Dunlap, Phoenix, AZ
85020. If sending it to us in advance, please make sure it arrives in
our office a day or two before your child's first date of travel. We are
also happy to mail it or
e-mail it to you. The shuttle rate for a child traveling alone is the same
as an adult fare. Our special rate for children 11 and younger
only applies to children that age traveling with an adult.
What is the cancellation policy for
shuttles?
Shuttles MUST be cancelled AT LEAST 24
hours in advance of your departure time in order to avoid any penalty
charges. Shuttle reservations cancelled less than 24 hours
before departure will be charged the full fare. No shows are also charged full fare.
Cancellations cannot be left on our company voicemail after hours -
you must speak directly with a reservationist. If you must
cancel less than 24 hours in advance, you will have a credit for the
amount of that portion of your shuttle to put toward a future
reservation for a time period of up one year after the cancelled
reservation. If you have not used your credit in that time period,
that ride credit expires.

How far in advance do I need to book a one
day tour?
Tour reservations are subject to
availability. We suggest making the reservation at least 48 hours
in advance. If you will be in the Phoenix area for several days, we
suggest you make a reservation at the beginning of your stay. Unforeseen
circumstances such as bad weather could require re-scheduling your tour.
We are in the office daily between

the office, so information on tour availability may be limited.

How far in advance should I plan multi-day
tours and vacation packages?
Hotels book up quickly in the summer
time, and during other peak travel times from February-May, and
September-October. The sooner we can confirm your lodging, the less likely there will
be a challenge meeting your requested dates. In the winter, more
flexibility is available for lodging. As a rule of thumb, 3 weeks in
advance is best for vacation packages. Less time is necessary for
shorter tours originating from the Phoenix area, but 48 hours is
suggested for these tours as well. If we have seats available, we strive
to accommodate last minute requests, so just call us!
How do I pay for the tour?
An advance reservation is required for
all tours and space must be paid with a major credit card. If you prefer
to pay with cash on the day of your tour, we will still need a credit
card to guarantee your tour - just let us know your preference at
booking. We also accept travelers checks as long as denominations
are $100 or less. Payment
may be made thru our office by personal check, which must arrive at
least three weeks in advance of departure. Deposits will be required for all overnight tours; we
will notify you of the amount at the time you book your trip. No
personal checks can be accepted on the day of the tour. All funds
must be in United States currency. Gratuities for your tour guide
and meals are not included in your tour price.
Can I reserve and pay for
a tour for someone else if I'm not traveling with them?
Yes! We are happy to help you. Please
give us the name of the person traveling, if you will not be
accompanying them. We always list the
reservation under the passenger's name. In addition to the name of
the passenger and the number of people traveling, please be prepared to let
us know a telephone number and/or hotel name and address so that we may
call them the evening prior to their tour departure with their pickup
time. We do recommend you book as far in advance as possible, if
you are paying for someone else's tour, so that you can send us this
Credit Card Authorization Form for Tour payment
for your guest in a timely fashion. Please be sure to
fill it out in its entirety, and contact us if you have any questions.
How can I arrange optional tours?
Because of the time frame on one-day
tours, we suggest that optional tours such as helicopter tours of the Grand Canyon be arranged in advance by Open Road Tours, or
with your guide on board the van. For overnight guests, it is still a
good idea to have Open Road pre-schedule your tour to avoid the air and
jeep tours being sold out when you arrive.

How much free time will I have at the
different stops?
Depending on the destination, your free
time will vary. On day tours, you will usually have anywhere from 15
minutes to an hour and a half at the major stops to explore the area. On
overnight tours, you will be unescorted for blocks of time during your
stay. Tour guides do not stay overnight with guests. We have found our independent travelers appreciate this mix of
escorted and unescorted time to explore the beauty of Arizona. We also include brochures on optional
tours and activities in the area in which you are overnighting. Optional
tours are available at your own expense.
How many people do we need to qualify for
a discount?
Group discounts generally apply for a
group of 25 people; call us for details. AAA members can receive a
discount thru the "Show your card and save" program. Just let us know at
booking.
What is the cancellation policy?
As stated on the back of our brochure,
and on the online tour policy page, all day tours canceled less than 24
hours are subject to a cancellation fee. Cancellations made less than 24
hours in advance of departure are charged full fare. Tours booked less
than 24 hours in advance of departure are non-cancelable and
non-refundable. No shows are charged full fare.
(Exceptions may be made for emergencies if canceled by 4:00 PM the
previous day). When we are sold out, we often take people on a standby
list. Please cancel directly with our office - NOT the hotel front
desk or concierge. Overnight tours and vacation packages must be
canceled 72 hours in advance. Overnight tour cancellations made less than 72 hours are
subject to a $25 processing fee and any lodging charges incurred for
late cancellation. Limited
departure multi-day tours are subject to cancellation fees as outlined
in the tour policy.
How will I be notified of the pickup time
at my hotel?
The Open Road office will call you
directly the evening prior to your tour. If you are not in, a message will be left on voicemail or at the
front desk for you to call us. If the confirmation message is not received or is unclear,
please contact our office. If we don't talk to you directly,
PLEASE check your
messages by 8pm (make sure your watch is set to Arizona time). If for
some reason you have not received your pickup time, please call us - we
answer the telephones until 9pm. Phoenix Valley Highlights afternoon
tour guests will be notified between 10:30 - 11:00 AM on the day of the
tour.
Where do I meet the tour?
The guide will meet you at the front
lobby door of your hotel. All our vans are brand new white Fords with
multi color designs and are clearly marked "Open Road Tours" on the
door.
May I be picked up from a private
residence?
It is our policy to pick up only at a
hotel or other public place for safety and insurance purposes. It could
also delay those already on board while the guide is trying to locate a
residence. We will make every effort to find a hotel very near your home
to meet us for your tour.
What kind of vehicles will I be
traveling on?
We are proud to offer the finest fleet in
the Phoenix area! Our brand new, full sized maxi-vans are all customized
for touring, including individual seating, a center aisle, tall
ceilings, state of the
art public address systems, hydraulic steps and many of them have video
players. The windows are oversized for great views and all the vans are
fully climate controlled. We have deluxe motor
coaches and mini coaches available to accommodate large custom groups when necessary.
What items can I bring on board?
What is your
luggage policy for multiday tours?
Our vans are designed for 12-14
passengers. We have limited space for luggage and allow small overnight
bags only on overnight tours. Any bags larger than 9" x 14" x 22" should
be left with your hotel. We appreciate your cooperation in this matter.
If you have a wheelchair or other necessary equipment, please notify us
at the time of booking so we may plan ahead to make arrangements for your special
needs. We have a cooler on board in which small items such as medication or
snacks may be refrigerated for your convenience. Anything you bring
should be able to fit under your seat for the comfort and safety of
everyone on board.
What kind of weather should I expect?
Arizona's desert areas experience a warm,
dry climate with only 7 inches of rainfall annually. Summer daytime
temperatures average 95-102 degrees (35-39 Celsius); spring and autumn
average 75-88 (24-31 Celsius) and winter, 65-70 (18-21 Celsius).
Northern Arizona and the Grand Canyon range from 72-82 degrees in the
summer (22-28 Celsius) to 25-45 degrees in the winter (-3-7 Celsius).
Such diversity means great weather for touring any time of the year!

conditions for Grand Canyon, Sedona, or whatever other are AZ.
Weather at the Grand Canyon can be
unpredictable at any time, and weather systems can move into the Grand
Canyon quickly. Our tours go rain or shine, but we cannot always
guarantee views at the Grand Canyon. Mother Nature is of course in
control of that. The Grand Canyon is beautiful any way you see it
-- whether it's a crystal clear day, clouds building up over the rim of
the canyon due to an approaching storm, an afternoon rain over the
canyon (maybe you'll see a rainbow!) or even in the middle of a
snowstorm (think of the canyon as a cake with the snow as the icing!).
You'll always have a story to tell about your visit to the Grand Canyon
- whether the weather was beautiful or if there was "weather" there for
the day. You'll get a fantastic tour from us, whatever the
weather!
Courtesy at Tour Stops:
As a courtesy to your tour guide and your
fellow travelers, please check your watch at each stop and return
promptly so that your tour can remain on schedule. Remember to set
your watch to Arizona time.
What type of clothing should I wear?
We want you to be as comfortable as
possible. Casual dress is suggested on all tours (shorts, jeans,
comfortable shoes). Remember that the Grand Canyon is 20-25 degrees
cooler than Phoenix, so layered clothing and good footwear is especially suggested for winter months.
Sedona is about 10-15 degrees cooler than the Phoenix area.
What about meal stops?
Meal stops are included on all tours
except the Phoenix Valley Highlights tour. The cost of meals is
not included
(unless otherwise noted) in
the tour price; however, all stops are at moderately priced restaurants.
Water and candies are included on all tours.
Are gratuities included in the price of
the tour?
Guide gratuities are not
included in the tour price, unless otherwise stated. Gratuities are given at the discretion of
the passenger and are always welcome. Suggested gratuity is 10-15% of
the tour price.
I have some more questions, what should I
do?
Call us!! We answer the phone from 7:00
AM to 9:00 PM daily and will be glad to answer any additional questions
to help you plan a memorable and enjoyable stay in Arizona. Remember,
"If you can dream it, we can do it!"
Please Note:
While no revisions of itinerary are
anticipated, Open Road Tours reserves the right to cancel or change any
tour schedules or prices, to substitute stops or attractions, and to
substitute or lease equipment as necessary. We also reserve the
right to require a minimum number of passengers to operate any tour.

responsible for any inconvenience, loss, injury nor damage which results
